Advising Procedure

For advising, all students are required to contact their academic advisors in each semester. Proir to seeing your advisor, all students should fill out the advising & graduation check sheet and provide it to their advisors.

How to prepare your advising sheet!!

You will need a Google Drive account. If you have an account for Gmail, YouTube,Picasa,or other Google apps, it will give you access to Google Drive. If you do not have one, then you can create one by clicking here.

(* You are allowed to use your UDC email address for your Google Drive account. For this, plase click the link "I prefer to use my current email address" on the Google Drive Account Creation Page and type your UDC email address as your Google Drive username.)

If your advisor has your advising sheet .....

  1. If your advisor used an electronic version of your advising sheet to advise you in previous semesters, you just need to email your Google account ID to the advisor.
  2. Then, your advisor is going to share the advising sheet with you on Google drive. Once the advising sheet is shared, an email notification will be sent to you.
  3. When you receive the email notification, open the sheet by clicking the link provided in the email. After updating the advising sheet with identifying the courses you took and the courses you plan to take in the following semester, make an appointment by sending an email to your advisor.

If you have your advising sheet (MS-Word version).....

  1. If you have an electronic version (MS-Word version) of your advising sheet, you can upload it to Google drive for advising. After uploading, right click the uploaded file in your Google Drive, choose "Open with" (then) "Google Docs". Google doc will be created by referencing the MS-Word version.
  2. Fill out your advising sheet (Google doc) with the information of the courses you took and the cyourses you want to take in the following semester.
  3. Share it with csitudc20008gmail.com by clicking "share" on the upper right corner of the page, then under "invite people" enter csitudc20008gmail.com and click "share and save."
  4. Then this email address will show on the list. Click the pull-down menu next to csitudc20008gmail.com and choose "is owner" then "save changes".

If this is your first time .....

  1. Click here and login with your Google Drive account at the prompt. You will see a list of advising sheets. The file name shows the program and the time period that it is effective.
    • If you are a graduate students: Choose the form that starts with "MSCS".
    • If you are an undergraduate students: Choose an advising form with a name that starts with the name of your program, and also the time period covers the time that you started your program. Foe example, a BSCS student started in 2009 Spring, should use the form BSCS_ADVISNG_08F-10S. If you started your program earlier than 2008 and don't know which version to use, please consult your advisor (or contact undergraduate or graduate program director). Please make sure you use the right version of the advising sheet. Using the wrong version can lead to taking unnecessary courses that would NOT count toward your degree.
  2. After Choosing your advising sheet, Click open and on "File" manual abd select "make a copy". In the prompt box, type the file name as "Your_first_name,Last_name, and your Program". For example, a student named "John Doe" in BSCS Program, would name his advising sheet "John Doe BSCS". This new copy will be opened in a new window/tab.
  3. Fill out your advising sheet with the information of the courses you took and the courses you want to take in the following semester.
  4. Share it with csitudc20008gmail.com by clicking "share" on the upper right corner of the page, then under "invite people" enter csitudc20008gmail.com and click "share and save." Then this email address will show on the list. Click the pull-down manual next to csitudc20008gmail.com and choose is owner" then "save changes".
